How Company Matching Works in Salesforge: Stop on Reply, Company Limit, Sequential Sending & Primebox

How Salesforge decides that contacts are from the same company, which settings use it, and why free-mail addresses like Gmail are never grouped.

Salesforge can group contacts that work at the same company and treat them as one account. Three sequence settings use this grouping, and so does Primebox. This article explains how Salesforge decides that two contacts are from the same company, what each setting does, and which email addresses are never grouped.

How Salesforge matches contacts to a company

The main signal is the email domain. Two contacts whose email addresses end in the same domain are treated as the same company. For example, [email protected] and [email protected] are both matched to acme.com.

  • Sequential sending within a company also looks at the LinkedIn company. If two contacts have the same LinkedIn company, they are treated as one company even when their email domains are different.

  • Stop on reply from company uses the email domain only. LinkedIn company information is not used for this setting.

  • The Company column in your upload is not used for matching. A contact is not matched to others just because they share the same value in a Company column in your CSV.

Personal email addresses are never grouped

Contacts with personal or free-mail addresses, such as @gmail.com or @yahoo.com, are excluded from company matching. Many unrelated people use the same free-mail domain, so Salesforge does not treat a shared domain like gmail.com as a company.

In practice, every personal address is handled on its own: it is not grouped with other contacts, it is not blocked by a company limit or sequential sending, and a reply from it does not stop anyone else. The full list of excluded domains is at the end of this article.

Settings that use company matching

You can find all three settings under Sequence → Settings → Multithreading.

Stop on reply from company

When this is on and anyone from a company replies to your sequence, Salesforge stops sending emails to everyone else from that company in the sequence.

Example: you add [email protected], [email protected] and [email protected] to a sequence. Anna replies. Tom and Lee no longer receive emails from that sequence.

A reply from a free-mail address does not trigger this setting, because those addresses are not matched to a company.

Limit contacts per company

This setting caps how many contacts from the same company are contacted in a sequence. Turn it on and enter the maximum number of people per company.

Example: you set the limit to 4 and add 10 contacts from acme.com. Only 4 of them receive emails. The other 6 are skipped.

Sequential sending within a company

When this is on, Salesforge contacts only one person per company at a time. The next contact from that company starts only after the previous one is no longer Active in the sequence.

Example: you add 10 contacts from acme.com. At first only contact 1 receives emails. Contact 2 starts once contact 1 is done, and so on.

A contact is done when their status changes to anything other than Active. That includes:

  • They replied.

  • They received every email in the sequence (Completed).

  • Sending to them failed or their email bounced.

  • They were paused manually.

Using the settings together

The settings can be combined. For example, with Sequential sending and Stop on reply from company both on, only one contact per company is active at a time, and as soon as that contact replies, no other contact from the same company enters the sequence.

Primebox and company matching

Primebox collects replies from two groups of people:

  • Anyone who is in your Salesforge contacts list.

  • Anyone who shares a company email domain with a contact in your list.

Example: [email protected] is in your contacts. If [email protected] replies to one of your emails, his reply shows up in Primebox even though Tom is not in your contacts, because someone else from @acme.com is.

This does not work for personal addresses. If someone replies from a @gmail.com address, the reply appears in Primebox only when that exact address is in your contacts. Another contact with a different @gmail.com address does not make it visible.

Common questions

I upload contacts with Gmail addresses. Will Salesforge treat them as one company?

No. Free-mail addresses are never grouped, so none of the company settings apply to them. If you want only one person contacted per company, use work email addresses.

Is a less common personal email provider also excluded?

Only the domains in the list below are excluded. A domain that is not on the list is treated like any other company domain.

Does the Company column in my CSV change how contacts are grouped?

No. Matching uses the email domain, and for Sequential sending also the LinkedIn company.
